e-Health Registration Terms and Conditions
Thank you for registering for e-Health 2025 Conference and Tradeshow (“e-Health”). The following Conference Terms and Conditions (“Terms”) apply to you and your participation in e-Health. For the purposes of these terms, “attendee” will include all participants at e-Health including exhibitors, sponsors, speakers, media partners, and individual attendees. By purchasing access to e-Health, you agree to these Terms, so please read them carefully.
General Information
e-Health is organized by Canada Health Infoway, Canadian Institute for Health Information, and Digital Health Canada (“the Hosts”). The Hosts reserve the right, in its sole discretion, to limit or deny access to any entity or individual. To be eligible to participate, you must be 18 years old or older.
Ancillary events not hosted by e-Health
Ancillary events presented by sponsors, partners, or attendees are not permitted during scheduled e-Health programming. e-Health 2025 scheduled programming times are:
- Sunday, June 1, 2025 from 12:00 PM – 7:00 PM EDT
- Monday June 2, 2025 from 7:00 AM – 7:30 PM EDT
- Tuesday, June 3 from 7:00 AM – 5:00 PM EDT
Attendee roster
Unless you have specifically opted out, by completing the registration process and acknowledging these Terms and Conditions, you are providing your consent for e-Health to share your limited contact information on the e-Health attendee roster via the conference app and with select sponsors.
Badge types, badge swapping, and badge scanning
All badges will be clearly identified at the conference and colour-coded to show that the individual is an attendee, speaker, sponsor, emerging professional, student, patient, or exhibitor.
Attendee, speaker, sponsor, emerging professional, student, and patient badges include entry to the keynote and plenary sessions, general education sessions, trade show floor, welcome reception, refreshments, and 25th anniversary social reception, as well as complimentary access to the e-Health Virtual Library to access slides or recordings of select presentations after the conference has concluded. Admission to every session, room, meeting area or social event is not guaranteed, as admission is subject to capacity and other requirements.
Exhibitor badges are for exhibit staff who are assigned to work in the booth and include access to the conference and tradeshow. Please honour the intent of the exhibitor badge; individuals from exhibiting organizations who wish to attend the conference and are not assigned to staff the trade show booth should purchase an individual attendee badge for the conference.
For security reasons, badge swapping, badge splitting, or sharing of access credentials is not permitted. Anyone found wearing a badge that does not match that person’s identification or using another person’s access credentials to attend the conference will be evicted from the conference venue without a refund, and that person’s registration will be cancelled. A government-issued photo ID will be required to pick up your badge on-site.
e-Health exhibitors use badge scanning to determine session attendance, deliver session surveys, and manage session capacity. The scanning of your badge is your consent to having your registration contact information and other identifying information you provided to e-Health shared with conference hosts, exhibitors, and sponsors. Please be aware that exhibitor and sponsor scanning of attendee badges is optional, and you may refuse to have your badge scanned at booths as well as at the entrance to exhibitor sessions and functions without penalty; you acknowledge that if you do not permit sharing of your contact information in this context, you may not be able to attend certain sessions or functions.
Change of date or conference cancellation
e-Health reserves the right, at its sole discretion, to change the date or dates upon which the event is to be held and shall not be liable in damages or otherwise by reason of any such change. In addition, e-Health will not be liable for damages for failure to carry out the terms of this contract in whole or in part when such failure is caused directly or indirectly by or in consequence of pandemic, fire, storm, flood, war, rebellion, insurrection, riot, civil commotion, strike, or by any cause whatsoever beyond the control of e-Health Conference and Tradeshow, whether similar to or dissimilar from the causes enumerated herein.
Notification of a change of date will be communicated to the sponsor immediately and all sponsor entitlements will be carried forward. In the event of cancellation, the sponsor will be offered a new sponsorship opportunity or a refund.
Code of conduct
You agree not to copy or permit to be copied, in any form or format, without the express written permission of e-Health, any of the contents of the attendee roster. You also agree not to use the attendee roster contents for any commercial, marketing, promotional or political purposes.
No solicitation is permitted except by exhibitors in their booths. e-Health reserves the right to escort any individual from the conference venue who is reported to be soliciting and who is not an e-Health exhibitor.
Attendees are expected to behave responsibly and to treat each other and the community with respect, kindness, and compassion. Failure to behave in such manner, as determined in e-Health’s sole discretion, may result in removal from the conference venue and cancellation of conference credentials, without refund.

Communications and contact information
For the purposes of these Terms, the term “contact information” means attendee names, company names, job titles, address, email address and phone.
e-Health does not share your contact information with exhibitors and/or sponsors prior to, during or after e-Health if you have opted out of the communications from exhibitors and/or sponsors. The sections below outline when and how e-Health may share the information described; if you want to adjust your consent and or opt-out preferences, you may do so at any time by emailing registration@e-healthconference.com. Additionally, if you receive an unauthorized email from an exhibitor, sponsor, or attendee, please contact the exhibitor, sponsor, or attendee directly to remove your name from its distribution list.
Communications from e-Health
By completing the registration process and acknowledging these Terms and Conditions, you are providing your consent to receive emails and other mailings from e-Health related to e-Health to facilitate your participation. Specifically, you are providing your consent to allow e-Health to use your contact information to facilitate access to conference programming, and related events, including conference content, optional pre- and post-conference symposia and activities, special events. You may opt out of receiving certain communications in connection with the event through the registration process or by contacting e-Health at registration@e-healthconference.com.
Emerging Professional Registration
For the purposes of this conference, an Emerging Professional (EP) is defined as an individual in the first seven years of a Canadian digital health, healthcare, or healthcare delivery career as of the date of the conference (June 1 -3, 2025). To inquire about registering as an EP, please email registration@e-healthconference.com. Include a link to your LinkedIn profile and a copy of your resume. EP registration requests are handled individually and are determined at the discretion of the e-Health hosts, who will issue a unique registration code to approved EPs by email.
Guest speakers
To provide attendees with fresh ideas and insights, e-Health invites speakers to share their personal perspectives. Guest speakers are not employees of e-Health and e-Health neither pre-reviews nor comments on the content of guest speakers’ sessions. Guest speaker views and opinions are entirely their own and in no way reflect the views and opinions of e-Health.
Health and safety
Considering ongoing concerns regarding COVID and other communicable health risks, e-Health will implement health and safety protocols appropriate to the public health circumstances existing at the time of the conference. e-Health will exercise reasonable efforts to use protocols that will comply with or exceed any local public health requirements and be consistent with then-prevailing public health standards as issued by relevant public health entities. Those protocols may include but are not limited to the following requirements: vaccination, proof of COVID status, self-monitoring, use of personal protective equipment and social distancing, or other similar measures. Compliance with some or all protocols adopted by e-Health may be mandatory for attendance and participation at e-Health. Additional information regarding specific health and safety measures, if any, will be communicated to attendees prior to the first day of e-Health.
You specifically agree that you will not attend e-Health if, within five days preceding the conference, you have: tested positive for COVID or other communicable disease or been identified as a potential carrier of COVID or other communicable disease; or if you have experienced any symptoms commonly associated with COVID or other communicable disease; or if you have been in direct contact with or the immediate vicinity of any person who is either confirmed or suspected of being infected with COVID or other communicable disease within the last five days.
Patient Registration
For the purposes of this conference, a patient is defined as a Canadian healthcare patient, patient advocate, or patient partner as of the date of the conference (June 1 -3, 2025). To inquire about registering as a patient, please email registration@e-healthconference.com. You will be asked to complete a brief online survey to help determine your qualification as a patient registrant. Patient registration requests are handled individually and are determined at the discretion of the e-Health hosts, who will issue a unique registration code to approved patients by email.
Payment terms
Submission of a registration online, by phone or email, constitutes an official registration and intent to attend e-Health. Invoices are payable upon receipt, and full payment must be received to gain entry to e-Health. Purchase orders and cash are not accepted. Student registrants must be prepared to show proof of full-time enrolment at a recognized academic institution. Prices are in Canadian dollars. Applicable taxes will be added at the time of checkout. All prices are subject to change.
Registration cancellation/substitution policy
If circumstances change and you can no longer attend e-Health, you may cancel your registration by providing written notice to registration@e-healthconference.com. A full refund, less a $50 administrative fee, will be available before May 1, 2025.
There will be no refunds given for any cancellations received after May 1, 2025. This can include, but is not limited to, failure to attend e-Health because of illness, alteration or rescheduling of e-Health by the Hosts, or due to events beyond the parties’ reasonable control, such as travel problems, natural disaster or weather emergency, civil unrest, epidemic, public health emergency (declared or undeclared). For cancellations received after the cut-off date with a balance due, the registration amount remains due in full. Conference refunds approved by e-Health will be issued within 5 to 7 business days. All refunds will be issued back to the original payment form.
Reminder: Cancelling your e-Health registration does not automatically cancel your hotel and travel arrangements. Attendees are responsible for cancelling their hotel and travel reservations. Please refer to the hotel cancellation and refund policy.
Substitutions are available until May 30, 2025. Please notify registration@e-healthconference.com of any substitutions. Upon receipt, the original e-Health registration will be cancelled, and fees for the original registration will be refunded in full.
You agree that, in the unlikely event that e-Health cannot resolve a payment issue and you dispute the credit card charge, your electronic statement may be used as evidence that said charge is valid and just. If there are any issues with your credit card charge, please contact registration@e-healthconference.com.
Your e-Health registration provides access to keynote and plenary sessions, general education sessions, trade show floor, welcome reception, refreshments, and social night, as well as complimentary access to the e-Health Virtual Library to access slides or recordings of select presentations after the conference has concluded.
Reminder: e-Health registration fees do not include Digital Health Canada membership. However, Digital Health Canada members are entitled to register at a discounted rate using a member code accessible by logging into the Digital Health Canada member portal.
Registration confirmations are auto generated and sent to the email address provided during the registration process. If you did not receive your confirmation, please contact please contact registration@e-healthconference.com.
Student Registration
For the purposes of this conference, a student is defined as a Digital Health Canada student member and/or an individual who is a full-time student in good standing at a Canadian academic institution as of the date of the conference (June 1 -3, 2025). To inquire about registering as a student, please email registration@e-healthconference.com. Include proof of full-time enrolment at a Canadian academic institution. Student registration requests are handled individually and are determined at the discretion of the e-Health hosts, who will issue a unique registration code to approved students by email.
Use of multimedia
By attending e-Health, you acknowledge and agree that e-Health, or others acting on its behalf or through sponsorship or exhibitor contracts, may take photographs and video (by any means) and/or make sound recordings during e-Health and that you may appear in such photographs and videos and be heard in such sound recordings, and that e-Health may edit and use the footage it captures at e-Health for marketing and promotional activities (including through social media) now and in the future, and for any other lawful purpose in the ordinary course of its business.
You are prohibited from photographing, video recording, and sound recording conference sessions or content (including through recording on social media feeds), unless you have obtained written permission in advance from e-Health.
Due to the prevalence of mobile devices in today’s world, e-Health disclaims all liability for the capture of your image, voice, or likeness by attendees (who are not under sponsorship or exhibitor contracts with e-Health) in any multimedia format at e-Health.
Waiver of liability
You assume all risks associated with, resulting from, or arising in connection with, attendance at and/or participation, in any capacity, in e-Health or any conference-related activities, including, without limitation, all risks of theft, loss, harm, damage, illness or sickness (including those caused by known or unknown infectious or communicable disease such as COVID or other illness or), or injury to the person (including death) or property damage, whether caused by negligence, intentional act, accident, act of God, or otherwise, and whether occurring before, during or after e-Health.
You further agree that neither e-Health nor its agents, officers, directors, members, contractors or employees shall be liable for illness, sickness or injuries to the person (including death) or loss or damage to property resulting from, occurring at or arising out of e-Health or conference-related activities, including but not limited to any education sessions presented in connection with e-Health, or for any indirect, incidental, consequential, special, punitive or exemplary damages. You further release and discharge such persons and entities from, and covenant not to sue such persons and entities with respect to, all risks, injuries, losses, damages, and liabilities described herein.
You further agree that the maximum liability of e-Health to you arising from your registration, participation, and attendance at e-Health shall be the return of your fees paid to e-Health.
e-Health reserves the right to revoke the credentials of attendees whose conduct is in violation of these Terms and Conditions or is otherwise deemed inappropriate, disorderly, or offensive, and to do so without warning or a refund. This may also result in prohibition from registering or attending future conferences.
